UW study team preparation is key to faster UROC submission review

UW–Madison study teams are strongly encouraged to review all requirements and complete necessary steps well in advance of submission for UW Health | SMPH Research Operations Committee (UROC) review.

To avoid delays in study timelines, research teams should complete all steps as outlined in the UROC Submissions Checklist, early in the feasibility phase, including nursing resource requirements, listed below, which can lengthen the review process.

Nursing Resource and Space Approval Process

Per the UW Health Nursing Administrative Policy 3.11, all required 3.11 Nursing Forms must be signed, either electronically or physically, by nursing leadership before UROC submission.

Nursing leadership requires 2 to 4 weeks to assess feasibility and sign the form. More complex requests (e.g., nurses conducting research procedures, rather than just providing space) may take 4 weeks or longer and may require meeting with nursing leadership to fully understand study requirements and determine feasibility. Meetings are scheduled based on availability and the timing of the form submission.

CRU Consults

If a study requires use of the CRU, a consultation must be scheduled prior to UROC submission. Upon completion, the CRU consultation agenda must be included with the UROC submission materials.
